DataSpace (Scotland|) provides a user friendly, web portal, called WebTrack, to enable authorised client users to access, view, download, modify or order for delivery, any document or file via a conventional internet browser.
WebTrack is a thin client application that allows the user to:
- Track physical files/boxes/tapes on or offsite
- Order scan on demand of any file
- Link to the scanned image & download as a tiff or pdf
- Hosting of scanned images in a secure data environment
- Order physical return of files/boxes/tapes
- Order box supplies
In addition to the standard features within WebTrack, a management tool is also available to access up to the minute, accurate information about all files, boxes or tapes held in store with us. This information can be viewed at company level or departmental level and includes:
- Number of files/boxes/tapes stored
- Volume of scanned images performed
- Volume of data hosted online
- Number of files/boxes/tapes retrieved
- Number of files/boxes/tapes returned or entered to store
- Number of files/boxes/tapes destroyed
- File activity by requestor
- Document review dates
