All collections and deliveries are carried out by our own staff using Dataspace vehicles and transported to our secure records management facility just outside Stirling.
All movements of document boxes, files, media tapes and individual pages of document filing, are fully tracked via our sophisticated barcode tracking and records management system. Our retrieval service operates 24 hours a day, 365 days a year.
Our secure web management system enables authorised client users to access, view, and retrieve any of their own documents, boxes or other items held in store. Scanned images can be securely viewed online and downloaded or printed as required. No client software need be downloaded as our online tracking system is accessible via any standard internet browser.
We monitor all document or file retention dates as originally set by our client, and notify the client when these dates are approaching, in order that you may authorise the appropriate action to be taken - whether this be return of the files to you, destruction of the files by DataSpace, or an extension of the End of Life retention date. Each box will be assigned a unique Dataspace barcode and have its full details recorded on our records management system to ensure traceability at all times.
All requests are logged and all movements tracked via the items unique barcode, ensuring a full audit trail is available throughout the life of the box or file. Requests for access or delivery may be made by telephone, email or securely online via our online system.
Our records management facility operates to BS5454 and is temperature and humidity stable, fully protected by fire detection and intruder alarm systems and monitored by 24 Hour CCTV cameras
