Thinking of going paperless ? What are the benefits of Scanning ?
Whether you currently store paper archive files in your offices or with an offsite storage provider, such as Dataspace Scotland, you can begin to move towards a reduced paper environment by gradually scanning your ongoing file records.
Dataspace Scotland's friendly and professional team can collect your paper files on a regular or ad-hoc basis, index and scan them, and either host them on our secure Cloud Electronics Records Management System (ERM), or return them to you by encrypted USB/Disk, or transfer them directly to your own internal ERM system or Sharepont.
If our files are already stored with us, we can make them available to you within 1 hour using our FASTSCAN process. High quality scanning, with full quality check to ensure all images are the optimum they can be.
This has several key benefits for you
1.    You avoid gathering paper files in your internal storage area long term & can use that space for other purposes
2.    You reduce the risk of having vast amounts of paper stored in your business premises
3.    You avoid adding to the paper files you have in external storage, thus controlling storage costs
4.    Using Dataspace' Cloud ERM system, you will have secure access to all scanned files online 24/7 from anywhere with an internet connection – office, home, or via phone, ipad, etc.. giving maximum flexibility to you and your staff
5. Using Dataspace' Cloud ERM system, all scanned images are backed up daily to disk and tape and vaulted securely for safekeeping. No need for you to worry about backup of these files.
6.    You manage the boxes currently in offsite storage by destroying them at end of life date, thereby reducing the amount of paper files in offsite storage each year, and reducing costs.
6. Because we Quality check all scanned data, the scanned images created by Dataspace Scotland will be of an exceptionally high quality, much better than can be acheived by internal staff and equipment.

7. Once files/boxes are scanned, they can be destroyed, they can be stored for as long or short a period of time as you wish, or they can be returned to you.
